Problem Appointments

The page will provideshows a master list of all appointments.appointments, It will also displayincluding any appointments that have some sort of problem that needsneed attention.  


Red Appointments — Rule Violations

What they are: Previously booked appointments that breakviolate a pre-established rule areconfigured displayedunder inSettings red→ UI Setup.

How Therethey're are several ways problem appointments are created.created:

  • AppointmentsAn createdadmin bymanually thebooks vendoran appointment that violate the rules set up on the Settings / UI Setup tab will be flagged asbreaks a problem.configured rule (e.g., booking limits, one-appointment-per-teacher rules).

WhenTo youresolve:

    Click the red box,appointment to see the reason for the problemconflict, willshown show up underbelow the calendarcalendar. Open the Appointments drop-down and select Confirm Appointment to force the booking and clear the flag.

    ⚠️ Important: Red appointments are invisible to parents — they do not appear as booked on the left.parent's Toschedule, forceand thisreminder appointment,emails selectwill not be sent until the Appointmentsappointment drop-downis andconfirmed. thenAlways select Confirm Appointment.

    Orange Appointments — In Progress

    What they are: Appointments currently being booked areby displayeda inparent, orangemid-process.

    Behavior:

      Cannot be manually deleted or selected for email notificationnotifications. sending. These appointments will be automaticallyAutomatically managed and, if necessary, canceled by the system if the user has been inactive for a long time and has not completed creating an appointment.

      NOTE: This will be seen on the Appointments Tab while the Customer is creating their appointment status.

      The orange status disappears once the parent completes the appointment booking process and clicks on the Create Appointment button,to thefinish booking.

      This will allowfor admins who are booking appointments formanually: parentsit prevents you from accidentally selecting a time slot a parent is currently in the Adminprocess UIof tool to not select the time slots that are in the booking process.booking.

        Deleted Slots with Existing Appointments

        When you delete a slot,slot thethat has appointments booked on thatit, slotthose appointments are not deleted — they're flagged instead, and will not be deleted. Appointments are not deleted; they are flagged, and all flagged appointments show upappear in the Appointments List tab on the Admin UI.

        IMPORTANT NOTE: You will want to make sure that your Appointments List does not contain any red appointments. To the parent, these appointments will NOT exist. Once Admin confirms a problem appointment, it will be available for a parent, and only then will any reminder emails that have been set up continue to go out.review.
