Divorced Parents

ThereDefault isbehavior: PTA scheduling enforces a one-appointment per teacher per class rule for Parent Teacher Conference Scheduling. The scheduling system will make sure that the appointments regarding a student will not violate the one appointment per teacher per class rule.rule per student. This means that two parents can split up theconference interviewduty process. Oneone can log in and book appointments forwith half the teachers, and the other can logbook in and bookwith the appointmentsremaining half — while the system still ensures no teacher gets double-booked for the othersame halfchild ofand class.

If divorced parents would prefer separate appointments: Sometimes both parents need their own, separate appointment with the teachers.same Again,teacher for the same class — which the standard one-appointment rule doesn't allow.


The Solution: Clone Student

To allow two separate appointments with the same teacher, you'll create a second record for the student so the system makestreats surethem that each teacher only has one conference about each child once per class.

Divorced parents are handled differently because theas two parentsdistinct need to violate the rules. The teacher will need to talk about the child's performance in each class at least twice, once for each divorced parent.children.

To

accommodate divorced parents, you will need to create another child record. In the Admin UI, go to Contacts and search for the studentstudent. in the Contacts tab, selectSelect the student, and then selectclick the Clone Student. button.

TheThis Clone Student feature will createcreates a secondduplicate childstudent record, with an asterisk (*) appended to the original StudentIDStudent ID.


Linking the Cloned Record to the Second Parent

    If both parents have previouslyalready logged in,in: you will thenYou'll be prompted to associate the Clonedcloned Studentrecord with one of the parentsexisting ofparents. the student. If the 2ndsecond parent has not yethasn't logged in,in youyet: willHave needthem tolog letin the parent know toand enter the StudentIDStudent valueID followed by aan *.asterisk

    By(e.g., creating1234*) ato secondfind child,and claim the systemcloned record.


    Since pickAtime now treats the two records as separate children, each parent can maintainbook independently with the one appointment persame teacher perwithout class rule, because, as far as pickAtime is concerned, there are two separate children.conflict.

    Note: Some of our schools maintain a standing list of parentsfamilies that they willwho use the Clone Student feature eachevery year, andwhile some of our schools will simplyothers handle this on ait case-by-case basis.as requests come in.
