Export Your Data

In the Admin UI tool,UI, select theImporter Importer onfrom the sidebar.


Step 1: Authenticate with Blackbaud

  1. Click Sign in to Blackbaud.Blackbaud.

Step now2: setRun up!the

Import

Select your event, Import Type,Type, Event,Event, and Term,Term, then click Import

.

There are 3 different import options.types, depending on what data you need:

To import

Option A: Academic dataImport for 
Parent (Parent-Teacher Conferences,Conferences) you

Use would do an 

Academic data import.
    Select the import type of PTA event. Select a specific eventthis to import the class and enrollment data to.for standard PTA conferences.
      Select Import Type: PTA Event. Select the specific event to import data into. Select Academics fromas the Offering type.Type. Select athe specific Term ID.ID.

      To import Advisory data for Advisory-only conferences, you would do an⚠️ Advisory Important:data import.     

      NOTE: If you remove teacher/class/student data manually in pickAtime, pleaseit be aware that the next time you do a data transport into your event from Blackbaud, the data will be re-added backon in.your Wenext suggestBlackbaud thatdata yousync. changeInstead theof classdeleting unwanted classes, set their slot type to '"Hidden" — hidden' instead of completely deleting unwanted classes. This way, classes wouldare not get reimportedskipped during subsequentfuture manual imports or imports/auto-sync.syncs.


      Option B: Advisory Import (Advisory-Only Conferences)

      ToUse this to import data for advisory-only conferences. Requires the Advisory Group Manager role (see authentication requirements above).


      Option C: Admissions Import (Admission Events)

      Use this to import parent data for anadmissions Admission event, you would do an Admissions importevents.

      This

      import offersIncludes a Parent Type selector,selector allowing Adminchoose to select either the Parent of Incoming, or Parent of Candidate, or both.

      NOTE:Imported The Admission importcontacts will includehave contactthe recordsrole with roles: Parent of Candidate; or Parent of Incoming Student.

      NOTE:Note: Contacts imported via admissionAdmissions import do not have access to the Resource Board on their end.Board.


      If Your School Doesn't Use Blackbaud Academic Data

      IMPORTANT NOTE: If your school doesdoesn't not havetrack Academic data within Blackbaud, you will want to do an import of a teacher file, a class file, and an enrollment file. To do this, you willyou'll need to toggleimport offyour theTeacher, BlackbaudClass, SKYand APIEnrollment importer.files manually instead:

        Go to the Global Setup / Business page,/ Single Sign On. section,Uncheck and uncheck the "Use SKY API ImporterImporter." option. 

        Then, createCreate and import your data files.

        Viewing Your Imported Data

        Once you have imported your data, you should go to the Class Editor page to confirm that your data is correct.

        1. From the Admin UI on the Events Preview, page, select your event from the list and click onGo theTo  button.Event.
        2. Select the Class Editor tab.to This tab will displaysee your listteacher oflist. teachers.Select Ifa youteacher to see their classes; select a teacher'sclass name from the left-hand side, then you willto see theenrolled liststudents.

        Modifying Teacher or Room Data section of the manual to add or add/remove teachers.teachers, Clicking on a class will bring up the list of students in that class. 

        NOTE: If you would like to view the data in class order, check the box on the far right-hand side, "show only classes." See the Moving a Class section to movereassign a classclass, and see the Modifying Enrollment Data section to add or add/remove students from classes.a class.

        To view data organized by class instead: Check "Show Only Classes" (far right).
