Types of Parents within your pickatime account

You will notice that parents whoParents are current vs prospective are markedcategorized differently withinin contacts.Contacts, depending on their relationship to the school:

Type Typically used for Current Parent (this parent would generally be accessing Parent-Teacher Conferences Prospective Parent Interview-like events (admissions, etc.)

Note: The Prospective Parent (thisimport parent would generally be accessing interview-like events   Import Parent Type: Prospective in pickAtimetype includes Blackbaud's roles Parent of Candidate; and Parent of Incoming Student.

Events

TheParents with the roles of Parent of Candidate andor Parent of Incoming Student don't have access to the resourceResource boardsBoard. Therefore,by youdefault. willTo reach them, you'll need to assist them by utilizinguse Blackbaud's Smart Tuition SSO.SSO, Thisplaced texteither could be added toin the Admissions Progress Text Box or as a Checklist Step.Step.

Prerequisite: Accessing the Admission Setup

To addconfigure Blackbaud'sthis, Smart Tuition SSO, youyou'll need tothe beAdmissions ableManager role in Blackbaud.

⚠️ After this role is applied to view the Admission Setup. To see Admissions setup, you need to have the "Admissions Manager" role (Note: after applying the new role to theyour account, you must log out and log back in again).for it to take effect.

Creating

Option A: Add the Smart Tutorial SSO for the Admissions Text Box

    While in Enrollment Management, goLink to the Admissions drop-downProgress menuText andBox select
      In Enrollment Management, go to Admissions → Admissions Setup.Setup. UnderSelect Admissions Setup, select 'Candidate Progress Text, and type outwrite the message thatyou'd like to show to Parents of Candidates/Incoming Students. Highlight the text you want to presenthyperlink, tothen click the Parents of Candidates; Parents of Incoming Students. Select the line of text that you want to hyperlink and select the hyperlink button.  ThePaste in your SSO URL that youfound wantunder to add is the URL that is located in Core =>/ Security =>/ Authenticate Settings =>/ SSO Settings (reviewsee steps 3-3–6 of SSO Setup)Setup).       Return to Core and, under your account name, select the Impersonate User.

      AddingOption B: Add the pickAtime linkLink as a Checklist Step

      1. WhileIn in Enrollment Management,Management, go to theAdmissions → Admissions drop-down menu and select Admissions Setup.Setup.
      2. Then Select 'Checklists.'Checklists.
      3. SelectClick theEdit Checklist that you wish to add the step to by clicking edit.
      Locate which stage ofon the checklist you want to addmodify. yourLocate stepthe torelevant andstage, then click 'Add Step.'Step. Fill out the form.form: BeType, sureName, toDue fillDate, outStaff the type, name, due date, staff assigned,Assigned, whether it's required,Required, and clickselect 'yes'Yes onunder Candidate Publishing Options.Options. Add thea Step Name, Description,Name and Description, then addpaste theyour SSO URL that isfound locatedunder in Core =>/ Security =>/ Authenticate Settings =>/ SSO Settings (reviewsee steps 3-3–6 of SSO Setup)Setup). Optionally,An youimage canis add an image.optional. Click 'Show Details' andDetails, then click 'Save'Save. This action may affect your candidates. If itthis does,change youaffects canexisting choosecandidates, you'll be prompted to update/ changeupdate which candidates need toshould have access. Once you confirm which candidates have access, you will seeconfirmed, the step will appear in the checklist.relevant candidates' checklists.
